Getting started
The portal lives at hr.sapphireclinicseast.org. Open it in any browser,
sign in with your work email and password, and you land on your home screen. What you see
is decided entirely by your role — nobody has to hide anything manually.
The three things on every screen
- The sidebar (left) is your menu of modules. It only lists the tools your role is allowed to open, so a shorter list simply means a more focused role — nothing is missing.
- The notification bell (top-right) flags new items that need a person's attention — a new staff concern, a patient complaint, a fresh form response, or a service-invoice deadline. New entries are highlighted; clicking a notification jumps you straight to it.
- Your account menu (top-right) shows who you're signed in as and your branch, and is where you sign out.
Section 2
Know your role
This handbook is written for the three roles that use the portal day to day. Throughout, each module is tagged with the roles that can open it, using these badges:
M Clinic Manager
The main administrator. Sees and manages everything, across every branch — people, money, hiring, governance. The only role that can manage user accounts and view shareholder records.
H HR Officer
Runs HR for one branch. Full use of the day-to-day tools — staff records, hiring, trainings, invoices, concerns — but limited to their own branch's data.
S Regular Staff
An employee or consultant. Sees their own profile, the trainings and meetings they're invited to, their weekly reports and peer evaluations, and the manuals.
Two other roles exist for special cases: a Director (board member — sees only Shareholders, Document Hub, and the Staff Dashboard) and a Marketing Admin (Staff Profiles, Trainings, and Patient CRM only). They're mentioned where relevant but aren't the focus here.

The modules
Each tool in the sidebar is a module. They're grouped below by what they help you do. Every card shows who can open it and how to use it.
Staff Profiles
sidebar › Staff ProfilesThe master record for every employee and consultant: personal details, government IDs, bank details, employment details (department, title, rates, dates), a profile photo, and uploaded 201-file documents.
- Add someone: click New Staff, fill the tabs, tick which branch(es) they work at, and complete the Employment Details for each ticked branch.
- Edit someone: open their card, click Edit, change the fields, and Save.
- Profile photo: click Upload Photo, then Adjust / Zoom to drag and zoom so the face sits nicely in the round avatar before saving.
- 201 files: upload documents per branch under the person's file section.
Staff Dashboard
sidebar › Staff DashboardThe analytics view over your workforce — headcounts, employment types, department and specialization breakdowns, top schools, and rate analytics. Use it to answer "how many, where, and what kind" without opening individual profiles.
Accounts & Access
sidebar › AccessWhere user logins are created and roles are assigned. This is how a person becomes an HR officer, a staff member, or a director, and how you link a login to a staff profile.
- Create an account with a name, email, temporary password, and role.
- Assign the branch-specific admin role to give an HR officer their branch.
- Because this controls who sees what, it is reserved for the Manager.
Hiring
sidebar › HiringManage job openings and the applications that come in through the public careers page. Applicants apply online; you review them here and move them through your process.
- Post and edit openings; the public apply page collects candidate details and answers.
- Review submitted applications and track candidates.
Seminars & Training
sidebar › Seminars & TrainingCreate and run trainings and CPD seminars, and publish them to the public institute
page at institute.sapphireclinicseast.org where the public registers and pays.
- Create a seminar with schedule, speaker, CPD units, fee, and description.
- Hide from public site: tick this on a seminar to remove it from the public page entirely while keeping all its records here.
- Manage attendees, issue certificates, and generate posters and QR codes.
- Staff see the trainings they're enrolled in and their certificates through their own account.
Peer Evaluation
sidebar › Peer EvaluationStructured peer feedback among staff, with separate clinical and administrative evaluation forms. Staff complete evaluations of colleagues; HR reviews the results.
Manuals
sidebar › ManualsThe library of HR manuals and policies. Anyone signed in can open and read a manual — this is the go-to reference for "how do we do X here?"
Templates
sidebar › TemplatesA catalog of reusable document templates (letters, forms, certificates) HR can pull from instead of recreating documents each time.
Meetings
sidebar › MeetingsSchedule meetings with timezone-aware times that sync automatically to Google Calendar. Invited staff see the meetings they're part of.
- Set date, time, and timezone; the invite goes on the calendar automatically.
- Staff see only the meetings they've been invited to.
Task Checklist
sidebar › Task ChecklistAssign and track HR tasks and to-dos, scoped to your branch. Good for onboarding steps, recurring checklists, and follow-ups.
Weekly Accomplishment
sidebar › Weekly AccomplishmentStaff log what they accomplished each week; HR and managers review the submissions. The regular pulse of what everyone is working on.
Service Invoices
sidebar › Service InvoicesMonthly service invoices from consultants, tracked per branch. HR sees who has and hasn't submitted for the month and can send reminders.
- Each consultant-branch has its own invoice row for the month.
- Upload or mark submissions; chase the outstanding ones.
Forms
sidebar › FormsShareable questionnaires (registrations, reference checks, intake forms) with a public link people fill in. Responses collect here, each downloadable as a PDF.
- Share a form's public link; submissions arrive in its Responses tab.
- New responses trigger the notification bell and deep-link to that form.
- Download any response as a PDF, or delete it.
Patient CRM
sidebar › Patient CRMThe directory of patients and their relationship with the clinic — used to look up a patient and see their history and touchpoints.
Customer Survey
sidebar › Customer SurveyPatient satisfaction surveys, typically collected via a QR code at the front desk. Review scores and feedback to track service quality.
Patient Complaints
sidebar › Patient ComplaintsLog and track complaints raised by patients so each one is recorded, assigned, and resolved rather than lost. New complaints show up on the notification bell.
Staff Concerns
sidebar › Staff ConcernsThe channel for concerns raised by staff. HR reviews and acts on them; new concerns are flagged on the notification bell so they're seen promptly.
Government Submissions

Shareholders
sidebar › ShareholdersCompany equity records — common and preferred shares, share certificates, voting, and board documents. Because it's sensitive ownership data, only the Manager and Directors can open it.
Section 4
Connected systems — where the data flows
The HR portal is one of four connected systems. It shares data automatically through secure system-to-system links, so information entered once doesn't have to be re-typed elsewhere. This map shows what the HR portal supplies to each system and what it receives back.
Accounting Hub
payroll · consultant pay · taxes · equityThe company's books — payroll, consultant payments, taxes, and shareholder/equity records.
- Staff roster — names, employee IDs, date hired, employment type, department and rates from Staff Profiles feed payroll.
- Service-invoice status — who has (and hasn't) submitted each month, from Service Invoices, drives consultant payments and creditable-withholding-tax (EWT) matching.
- Equity & capitalization tables — common and preferred shares, holdings and voting weight — are pulled from Accounting and shown in the HR Shareholders module.
Operations Hub
bookings · schedules · patient CRMThe clinic-operations system — appointment bookings, clinician schedules, patient CRM, and marketing events.
- Public trainings — seminars you publish appear on the public Institute page (
institute.sapphireclinicseast.org) that Operations promotes. - Shared staff identity — a person in Staff Profiles is the same clinician Operations schedules and books patients for.
- Marketing-event vouchers — unique codes won in Operations/marketing games are accepted and redeemed at Trainings checkout (seminars marked “Accepts marketing vouchers”).
Staff Portal
staff.sapphireclinicseast.org — what employees seeWhere employees and clinicians log in to their own account (the Teletherapy Hub) — separate from this admin hub.
- Manuals — HR manuals you publish become readable (view-only) in each staff member's portal.
- Seminar certificates — certificates issued in Trainings appear in the staff member's account.
- Enrolled trainings — the seminars a staff member is enrolled in, with schedule and links.
Mostly one-way: the Staff Portal is where staff read what HR publishes. Staff-submitted items (own profile updates, weekly accomplishments, peer evaluations) are handled inside this HR portal's own staff view.

Section 5
Role playbooks
The most common jobs for each role, start to finish.
M Clinic Manager
- Onboard a new HR officer: in Access, create their login and give them the branch-admin role for their branch. They'll immediately see only that branch.
- Add a new hire's record: in Staff Profiles › New Staff, tick their branch(es) and fill Employment Details for each.
- Check the whole organization: use the Staff Dashboard and KPI Monitoring for cross-branch numbers.
- Review governance: open Shareholders for equity and board records — yours alone (with Directors) to see.
- Stay on top of exceptions: watch the notification bell for concerns, complaints, form responses, and the monthly invoice deadline across every branch.
H HR Officer
- Keep records current: in Staff Profiles, add and update your branch's people — details, photos, and 201 files. You'll only ever see your branch's data.
- Run the monthly invoice cycle: in Service Invoices, track who has submitted, upload invoices, and send reminders before the 5th.
- Handle what comes in: clear the notification bell — respond to Staff Concerns and Patient Complaints, and review new Forms responses.
- Move hiring forward: post openings and review applicants in Hiring.
- Support development: enroll staff in Seminars & Training, schedule Meetings, and review Weekly Accomplishment and Peer Evaluation submissions.
S Regular Staff
- Check your profile: open Staff Profiles to see your own record; tell HR if anything is out of date.
- Submit your week: log your work in Weekly Accomplishment.
- Grow: attend the trainings you're enrolled in under Seminars & Training and download your certificates.
- Show up prepared: find the meetings you're invited to in Meetings.
- Give feedback & read up: complete assigned Peer Evaluations, and use Manuals whenever you need to check a policy.
